Reconstruct defensible mileage records from receipts and odometer evidence in an offline Windows app with IRS checks, OCR, and audit exports.
What it does
ReClaim Miles is a Windows desktop application for organizing and reconstructing historical mileage records from evidence you already possess. You can add odometer readings, fuel and service receipts, invoices, calendars, work schedules, and documented destinations, then review the resulting trip log before relying on it. The application runs locally, keeps its database and receipt images on your PC, and does not use GPS tracking or cloud storage for trip data. Its workflow combines bulk document import, local OCR, optional Gemini-assisted extraction, odometer anchors, route and schedule validation, and a fuel-and-battery simulation for gas, diesel, and electric vehicles. The software applies mileage rates by trip date, flags the IRS Publication 463 five-vehicle rule, checks timing and capacity for physical consistency, and rejects reconstructions that would require impossible refueling or backward odometer readings. For substantiation and review, ReClaim Miles provides a Form 4562 Part V worksheet, an append-only hash-chained audit ledger, Merkle-root tamper evidence, and an Audit Defense Pack containing the mileage log, worksheet, methodology, ledger, and file-hash manifest. It supports single vehicles, mixed fleets, and larger client or fleet workflows, with separate licensing tiers for solo contractors, businesses, CPAs, tax professionals, and enterprise users. The app is in Release Beta and offers a 14-day unrestricted evaluation before a license key is required.
